Privacy policy

CrewTrack helps contractors see where their crews are working, collect field reports and track hours. This policy explains what we collect, why, and the choices you have. It covers our website, the CrewTrack dashboard, the owner's app and the worker app.
Who is responsible for the data
The company that uses CrewTrack (the customer) decides which workers to invite and how their information is used. For that data, the customer is the controller and CrewTrack processes it on the customer's behalf. For data about the people who visit our website or buy a plan, CrewTrack is responsible.
What we collect
- Account information: name, work email and password (stored as a secure hash) of office users; company name, time zone and settings.
- Worker information: name, mobile phone number, preferred language, crew, role, usual start time and, if the customer enters it, hourly rate.
- Location: the phone's GPS position when a worker clocks in or out and, only while their shift is open, about every 25 meters or once a minute, including when the app is in the background. Tracking stops when the worker clocks out. We don't collect location outside a shift.
- Field evidence: the selfie taken when clocking in, photos, voice notes, checklist answers and signatures that workers add to reports.
- Billing: plan and payment status. Card details are handled by Stripe; we never see or store full card numbers.
- Technical data: device type, app version, IP address and error logs, used to keep the service secure and working.
How we use it
- To show the customer's office who is on site, hours worked, reports and alerts (late arrivals, leaving a job site, missed clock-ins, hazards).
- To send sign-in codes and invitations by text message, alerts and the daily summary by email.
- To transcribe voice notes and, on plans that include it, translate them from Spanish to English.
- To bill the subscription, provide support, prevent abuse and improve the product.
We don't sell personal information and we don't use it for advertising.
Who we share it with
Only with the customer that invited the worker, and with service providers that help us run CrewTrack under contracts that protect the data: cloud hosting, text messaging, email delivery, payment processing (Stripe), map tiles and speech-to-text. We may disclose information when the law requires it.
How long we keep it
Photos, selfies and voice notes are deleted automatically after the period included in the customer's plan (30 days on Crew, 90 days on Business, 365 days on Pro, or as agreed on Partner). Hours, clock-ins and report answers are kept while the customer's account is active and deleted after it closes, unless the law requires us to keep them longer.
Your choices and rights
- Workers can turn off location permission on their phone at any time; without it they can't clock in with GPS. To see, correct or delete their information they can ask their employer or write to us.
- Depending on where you live (for example, California under the CCPA), you may have the right to know, access, correct or delete your personal information, and to not be discriminated against for using these rights.
Security
Data travels encrypted (HTTPS) and access is limited to people who need it. No system is perfectly secure, so we also ask you to keep your password private.
Children
CrewTrack is a tool for businesses and is not meant for anyone under 16.
Changes and contact
If we make important changes we'll let customers know before they take effect. Questions or requests: privacy@crewtrack.com.
